Case Study - Resource Planning

Planning of project resources to provide a direct support service to our client to ensure inductions are conducted in a professional manner in the shortest possible time. This enables confirmation of the correct resources ready to start on a given project as per the client requirement and expectation.

Problem:

Management of this process was the responsibility of one person. This creates limited participation of the site team and insufficient development of site services resources.

Solution:
  • Establish pre-planning procedure and allocate project team with a designated team leader for induction and take-on.
  • Finalise contracts, PPE, medicals and project-relevant admin before the start of a project.
  • Allocate tasks and follow planning meetings with project team on weekly basis for a month before the start of a project.
  • Team presence on day 1 ensuring people are allocated and inducted as per requirement. The aim was to create better visibility for our company as well.
  • Use a branded company vehicle transporting the project team and toolboxes for a project.
  • Implement an electronic skills file for on-site reference of work force.
Result:
  • Structured planning.
  • Team involvement and development of experience.
  • Marketing with our client.
  • Turnaround time for four hours placing a project of 120 people.
  • Pressure on the competition as Staff-U-Need was able to provide a workforce contracted, with medicals, issued with PPE and toolbox inspections, all completed before the start of the project. This saved a lot of time and enabled very good feedback from our client.
  • Pre-outage meeting with Project Manager has been implemented. This creates a better feel for his requirements and problem areas. Staff-U-Need can assist him better.
  • Confirmation SMSs are being sent to employees. Better communication with workers as well as proof of communication. No misunderstandings.
